1. Who we are
AjM Electrical Solutions Inc. provides electrical services in Greater Sudbury and surrounding communities. This policy explains how we handle personal information from website visits, inquiries and services.
Our business owner is the privacy contact. For questions or requests, email Estimates@ajmelectricalsolutions.com or call (705) 790-6008. Using the subject “Privacy Request” helps us identify your message.
2. Information we collect
We collect the information you provide: your name, phone number, email address if provided, project location, type of work, preferred timing, project details, photographs you send separately, and correspondence. Estimates, work authorizations and service records may also contain personal information.
Only send information relevant to the work and that you are entitled to share. Do not send payment-card details, identification documents, passwords or access codes through the form or ordinary email. Check photographs for unrelated people, documents or other private details.
3. How we use information
We use relevant information to respond to inquiries, prepare estimates, schedule and provide agreed services, arrange required ESA inspections or utility connections, keep business records, prevent misuse and meet legal obligations or address disputes. We collect only what is reasonably needed for these purposes.
A project inquiry does not sign you up for marketing. We do not sell or rent personal information or share it for another business’s independent marketing. We obtain additional consent when required for unrelated uses. We do not publish identifiable customer photos, testimonials or project details for promotion without appropriate permission.
4. Our website and quote form
Quote requests. “Send Quote Request” sends your form entries to FormSubmit for email delivery to aaron@ajmelectricalsolutions.com. “Copy Details” only copies them to your clipboard; it does not send a request. The form has no photo upload. A website confirmation does not mean someone at AjM has read your request.
FormSubmit may use Google reCAPTCHA to prevent spam; see Google’s Privacy Policy. FormSubmit’s documentation states that it keeps submissions for 30 days. That is separate from AjM’s retention of delivered emails. See FormSubmit’s privacy information for its practices.
Hosting and analytics. Cloudflare hosts, delivers and protects our website. It processes technical information such as IP addresses, browser details and requests; security checks may use cookies. See Cloudflare’s privacy policy and cookie information.
We also use Cloudflare Web Analytics for visits and loading performance. Cloudflare says this analytics service does not use cookies, local storage or fingerprinting to track visitors.
Our form code does not save entries in cookies or browser storage. Browser autofill and clipboard settings may retain them separately. You can manage cookies and saved information in your browser or contact us by phone instead. Blocking security cookies may affect website access.
5. Sharing and processing outside Canada
We share information only as needed with people working for AjM, providers supporting hosting, email and business administration, and relevant subcontractors, suppliers, utilities or the Electrical Safety Authority. We may also share it with advisers, insurers or authorities where necessary and permitted or required by law.
We remain responsible for information processed on our behalf and use contractual or other appropriate safeguards with providers to protect it and limit its use to the agreed purpose. Their systems may process or store information outside Canada, where local authorities may access it under that country’s laws. Contact us for information about our providers and processing practices.
Other websites linked from ours have their own privacy practices. This does not remove our responsibility for providers handling information on our behalf.
6. Retention and security
We keep information only as long as reasonably needed for inquiries, services, required record keeping and disputes. An unsuccessful inquiry may need a different retention period from a completed-job record. When information is no longer needed, we securely delete, destroy or de-identify it. Backups may remain until they expire; legal requirements may delay deletion.
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information, including access limited to people who need it. No online transmission or storage system is completely secure. We respond to privacy incidents and meet applicable reporting, notification and record-keeping duties.
7. Your choices and privacy rights
Contact our privacy contact to request access to your information, ask how it has been used or shared, correct errors, request deletion, or raise a concern. We may reasonably verify your identity. Deletion is subject to legal and record-keeping requirements.
We respond to access requests within 30 calendar days unless a lawful extension applies, and explain any extension or refusal as required by law. Access is available at minimal or no cost; we tell you beforehand about any permitted charge.
You can withdraw consent or ask us to stop non-essential communications, subject to legal or contractual restrictions and reasonable notice. We explain any consequences, such as being unable to arrange work without contact details.
You may also contact the Office of the Privacy Commissioner of Canada. You do not have to finish our internal process before exercising an available complaint right.
8. Policy updates
We may update this policy and its effective date as our practices change. If a new use or disclosure requires consent, we obtain it before proceeding; updating this page alone is not consent.
